This notice explains how AdiAstra handles information submitted through the public website, consultation intake, email, and related service conversations.

At a glance

  • We collect only the information needed to respond to inquiries, understand workflow fit, and operate the public website.
  • Please do not send passwords, regulated data, private client records, medical information, financial account details, or confidential third-party documents through the public intake form.
  • We may use AI-assisted tools to summarize intake context or prepare follow-up questions, but humans review those outputs before outreach or engagement decisions.
  • We do not sell personal information or use public intake submissions for cross-context behavioral advertising.

Who we are

AdiAstra Labs operates the AdiAstra public website, consultation intake, and related service conversations. In this notice, "AdiAstra," "we," "us," and "our" refer to AdiAstra Labs.

Information we collect

Information you provide directly, such as your name, email address, company or practice, a description of the work that keeps piling up, what you have already tried or paid for, the software the work lives in, language needs, rough cost estimates you choose to share, and your preferred follow-up method and timing.

Information from email or direct conversations, such as scheduling details, follow-up notes, and the substance of the conversation you choose to share.

Technical information processed by our hosting and security providers, such as IP address, user agent, request metadata, log data, device and browser information, and pages requested.

How we use information

To respond to inquiries and consultation intake submissions.

To understand whether an initial consultation, operational audit, controlled implementation, or ongoing improvement engagement may be useful.

To prepare follow-up questions, internal notes, workflow summaries, and safe next-step recommendations.

To operate, secure, debug, and improve the website and intake flow.

To maintain business records and comply with legal, security, or operational obligations.

AI-assisted review

AdiAstra may use AI tools to summarize intake responses, identify workflow themes, draft follow-up questions, or prepare internal notes.

Public intake submissions are not intended for production client data. AI-assisted outputs are reviewed by a human before outreach, scoring, or engagement decisions.

We do not intentionally use public intake submissions to train public foundation models. If a future client engagement requires model training, fine-tuning, retrieval, or agent memory using client data, that must be covered by a written agreement and data boundary plan.

Service providers

We use service providers to host the site, process requests, route intake submissions, deliver email, secure infrastructure, and support AI-assisted review when appropriate.

The site is hosted on Vercel. Validated consultation submissions are routed to an AdiAstra-owned Google Apps Script receiver, and Google Workspace delivers the internal email notification. These providers process information only as needed to provide those services to us.

We require production intake to use an approved destination. The public site should not rely on server logs as the production system of record for intake submissions.

Cookies and analytics

The current public site does not intentionally add advertising trackers or behavioral advertising cookies.

We use Vercel Web Analytics to understand aggregate website usage and page performance. Vercel may process page-view and technical event data as our service provider.

Hosting and security providers may process standard technical data to deliver, protect, monitor, debug, and measure the site.

If we add advertising pixels or optional cookies later, we will update this notice and add consent or preference controls where required.

Retention

We keep public intake and email records only as long as reasonably needed for discovery, follow-up, business records, legal obligations, security, and service improvement.

If we do not move forward together, you may ask us to delete public-intake information unless we need to keep a limited record for legitimate business, legal, security, or dispute-resolution reasons.

Production client data, if any, should be governed by a separate written agreement with its own retention and deletion terms.

Security and data boundaries

We use administrative, technical, and organizational safeguards designed to protect information appropriate to the nature of the public site and early discovery workflow.

No public website or email channel is a perfect security system. Do not submit sensitive information until a secure channel, scope, and data boundary plan have been agreed in writing.

If a workflow requires regulated, highly confidential, or production client data, we will define collection limits, access rules, approved tools, and review paths before that data is shared.

Your choices and rights

You may contact us to request access, correction, deletion, or limits on use of information you submitted through the public site.

Depending on where you live, you may have additional privacy rights under laws such as U.S. state privacy laws, Canadian privacy law, UK GDPR, or EU GDPR.

We will respond to reasonable requests as required by applicable law and may need to verify your identity before acting on a request.

International processing

AdiAstra and its service providers may process information in the United States, Canada, and other locations where our providers operate.

When required, cross-border processing should be governed by appropriate contractual, security, and data protection measures.

Children

The AdiAstra website and consultation intake are intended for business and professional use. They are not directed to children, and we do not knowingly collect personal information from children through the public intake flow.

Changes to this notice

We may update this Privacy Notice as our website, intake flow, providers, or services change. The Last updated date shows when this notice was most recently revised.
