Privacy

The AdiAstra website and consultation service are operated by Shaktisinh Sodha in Ottawa, Ontario, Canada, under the operating name AdiAstra Labs. In this notice, "AdiAstra," "we," "us," and "our" refer to that operation.

Information you provide directly, such as your name, email address, company or practice, a description of the work that keeps piling up, what you have already tried or paid for, the software the work lives in, language needs, rough cost estimates you choose to share, and your preferred follow-up method and timing.

Information from email or direct conversations, such as scheduling details, follow-up notes, and the substance of the conversation you choose to share.

Technical information processed by our hosting and security providers, such as IP address, user agent, request metadata, log data, device and browser information, and pages requested.

To respond to inquiries and consultation intake submissions.

To understand whether an initial consultation, operational audit, controlled implementation, or ongoing improvement engagement may be useful.

To prepare follow-up questions, internal notes, workflow summaries, and safe next-step recommendations.

To operate, secure, debug, and improve the website and intake flow.

To maintain business records and comply with legal, security, or operational obligations.

No AI service currently reviews consultation submissions. A member of the AdiAstra team reads every submission before contacting you or deciding whether to propose an engagement.

Before enabling AI-assisted intake review, we will approve the provider, account settings, permitted information, retention, and terms for business data. We will also update this notice and the consent text shown with the form.

We will not use consultation submissions to train models.

Public intake is not intended for production client data. If a future client engagement requires retrieval, agent memory, fine-tuning, or other AI processing using client data, that use must be covered by a separate written agreement and data boundary plan.

Vercel hosts the site, protects the public form, provides aggregate web analytics, and processes the form submission.

Google Workspace receives and stores the submission so we can review it and follow up.

We do not use production server logs as the consultation system of record.

The current public site does not intentionally add advertising trackers or behavioral advertising cookies.

We use Vercel Web Analytics to understand aggregate website usage and page performance. Vercel may process page-view and technical event data as our service provider.

Hosting and security providers may process standard technical data to deliver, protect, monitor, debug, and measure the site.

If we add advertising pixels or optional cookies later, we will update this notice and add consent or preference controls where required.

If an inquiry does not become an active client relationship, we normally delete the consultation submission and related follow-up notes within 12 months of the last meaningful contact. Obvious spam, duplicate submissions, and synthetic tests are normally deleted within 30 days.

We may keep a limited record longer when reasonably needed for legal obligations, security, fraud prevention, accounting, or dispute resolution. Deletion from provider backups and security systems may take additional time.

You may ask us to delete information you submitted. Production client data, if any, is governed by a separate written agreement with its own retention and deletion terms.

We use administrative, technical, and organizational safeguards designed to protect information appropriate to the nature of the public site and early discovery workflow.

No public website or email channel is a perfect security system. Do not submit sensitive information until a secure channel, scope, and data boundary plan have been agreed in writing.

If a workflow requires regulated, highly confidential, or production client data, we will define collection limits, access rules, approved tools, and review paths before that data is shared.

You may contact us to request access, correction, deletion, or limits on use of information you submitted through the public site.

Send a request to the Privacy Officer at hello@adiastralabs.com. We may need to verify your identity before acting on a request. We aim to respond within 30 days unless applicable law permits or requires a different period.

Depending on where you live, you may have additional rights under applicable privacy law.

AdiAstra operates in Canada. Vercel, Google, and their subprocessors may process information in Canada, the United States, and other locations where they operate.

Information processed outside Canada may be available to courts, law enforcement, or national-security authorities under the laws of that location. AdiAstra remains accountable for the information it transfers to service providers.

The AdiAstra website and consultation intake are intended for business and professional use. They are not directed to children, and we do not knowingly collect personal information from children through the public intake flow.

We may update this Privacy Notice as our website, intake flow, providers, or services change. Changes apply prospectively from the published effective date. The Last updated date shows when this notice was most recently revised.
